Personal Assistant

We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. Our ideal candidate for the job shall be capable of wearing many hats and provide support to principals in both personal and professional levels. Must be discrete, and have a “can do” attitude who is a competent multi-task possessing a drive to handle all projects with tact and precision.

Responsibilities:

  1. Manage all daily administrative tasks in the office.
  2. Organize and schedule appointments.
  3. Plan meetings and take detailed minutes.
  4. Prepare minutes of meeting, letters, memo etc.
  5. Write and distribute email, correspondence memos, letters, faxes and forms.
  6. Screen phone calls, emails, enquiries and requests. Handling them as appropriate by replying or highlighting urgent or important correspondence.
  7. Follow-up and report to CEO on urgent matters.
  8. booking and arranging travel, visas and accommodation and, occasionally, travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
  9. To be always at standby mode. Being able to present when needed by CEO.
  10. Update and maintain office policies and procedures.
  11. Handling special request, errands, and related duties.
  12. Work collaboratively with other departments to assist with administrative matter.
  13. Maintain discretion and confidentiality with all matters.
  14. Ad-hoc assignments from time to time.

Requirements:

  1. Degree/Diploma holder in Corporate Admin, Secretary, Private Secretaryship, Psychology or similar degree; equivalent combination of education and experience may substitute for degree.
  2. Minimum 3 years in related working experience.
  3. A basic knowledge of Microsoft Office, i.e. Excel, PowerPoint and Word.
  4. The ability to be proactive and use your initiative: to see what needs doing and to do it.
  5. Possess strong organizational skills including the ability to manage calendars and effectively maintain records and files.
  6. Demonstrate ability to achieve high performance goals in a complex and fast-paced environment.
  7. Good interpersonal, organizational, administrative writing, reporting and scheduling skills.
  8. Good in time management.
  9. Excellent written and communication skills in English and BM.
